Job Title: Assistant to CEO and Share Administrator
Overview:
We are seeking a highly organized and proactive CEO Assistant and Share Administrator to provide comprehensive support to our Chief Executive Officer and to manage our company’s share registry and ensure compliance with relevant regulations. The ideal candidate will act as a gatekeeper, managing communications and ensuring the CEO’s time is optimized for strategic initiatives and crucial for maintaining accurate records and facilitating shareholder communications.
Key Responsibilities:
- Manage Communications: Prioritize emails and calls, ensuring important messages are addressed promptly.
- Schedule Management: Coordinate the CEO’s calendar, including meetings, travel arrangements, and events.
- Documentation: Prepare reports, presentations, and other documents as needed.
- Project Coordination: Assist in the management of special projects and initiatives, ensuring deadlines are met.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Record Keeping: Maintain accurate records of share ownership and transactions.
- Shareholder Communication: Prepare and distribute shareholder meeting materials and reports.
- Compliance: Ensure compliance with legal and regulatory requirements related to share administration.
- Support Financial Reporting: Assist in the preparation of financial reports and disclosures related to share capital.
- Collaboration: Work closely with finance and legal teams to support corporate governance activities.
Qualifications:
- Proven experience as an executive assistant or in a similar role.
- Excellent oral and written communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- Experience in share administration or a related field.
- Strong analytical skills and attention to detail.
- Excellent communication and interpersonal skills.
- Familiarity with relevant regulations and compliance standards.
- Proficiency in database management and reporting tools.
Education Requirements:
- Bachelor’s Degree: A degree in Finance, Business Administration, Management, or a related field is preferred.
Experience Requirements:
- Years of Experience: A minimum of 4-5 years of experience in an executive assistant role and share administration or a related field.
